Privacy policy (Datenschutzerklärung)

As of October 2026

The German version of this page is the legally binding one. This translation is provided for information only. Open the German version

1. The short version

This website sets no tracking cookies, uses no analytics or advertising tools and loads no content from third parties such as Google Fonts, YouTube or maps. Personal data arises only where it is technically necessary to deliver the website, or where you give us details yourself, for example in the chat, in the contact form or by email.

2. Controller

KOTA WORLDLINK, sole proprietorship, represented by S. Ragab Gottlieb-Daimler-Straße 17, 76703 Kraichtal-Münzesheim, Germany Email: office@kotaholding.de Phone: +971 50 347 5085

You will find further details in the legal notice.

3. Hosting and server log files

The website is hosted by Vercel Inc., 440 N Barranca Ave #4133, Covina, CA 91723, USA. Each time a page is requested, Vercel automatically processes technical access data: IP address, date and time, requested address, referrer URL, browser type and operating system. This data is needed to deliver the website, to keep it secure and to defend against attacks.

The legal basis is Art. 6 (1) (f) GDPR. Our legitimate interest is a secure and stable provision of the website. A data processing agreement under Art. 28 GDPR is in place with Vercel. The transfer to the USA relies on the EU-US Data Privacy Framework, under which Vercel is certified, and additionally on the EU standard contractual clauses.

4. Encryption

The connection to this website is encrypted with TLS (HTTPS).

5. Cookies and storage in your browser

We do not set cookies for tracking. The chat assistant keeps the conversation in your browser's sessionStorage (entry worldlink-agent-v1) so that it survives a change of page. The entry does not leave your device by this route, is deleted when you close the tab and can be removed at any time with the delete function in the chat.

In addition, the website remembers your language choice in a cookie (kw_locale) as soon as you switch language or open a language version. It contains only the language code, serves only to avoid redirecting you again, and expires after one year.

This storage access is strictly necessary for the function you requested (§ 25 (2) no. 2 TDDDG). Consent is therefore not required.

6. Fonts

The fonts we use are delivered from our own server. No connection is made to servers of Google or other font providers.

7. Freight calculator and price overview (Freightos)

When you request a price, our server sends the shipment details to the interface of the Freightos service: origin and destination, weight, dimensions and type of goods. No personal data is transmitted, neither your name nor your email address nor your IP address. The request runs through our server, not directly from your browser.

The legal basis is Art. 6 (1) (b) GDPR (answering your request) or (f) GDPR. Where the details relate to a person in an individual case, the same basis applies.

8. Chat assistant

The assistant answers questions about services, cargo groups and freight rates. Your messages are sent to our server and processed there. Please do not enter sensitive personal data in the chat. The conversation is not stored permanently on the server.

If a key for the Anthropic AI service is stored on the server, your chat messages are transmitted to Anthropic, PBC, San Francisco, USA, in order to answer them. The transfer relies on the EU standard contractual clauses. Without this key the assistant answers only with information stored locally on our server, and nothing is passed on to Anthropic.

The legal basis is Art. 6 (1) (b) or (f) GDPR (answering your questions).

9. Contact form, enquiries and email

When you submit the form, we process the data you enter (for example name, company, email address, phone number, shipment details and your message) in order to answer your enquiry. Depending on the configuration, this happens in one of two ways:

  • The server sends the enquiry as an email through the Resend service (Resend, Inc., San Francisco, USA). Your form data is transmitted to Resend in the process. The transfer relies on the EU standard contractual clauses.
  • If this service is not active, the form opens a pre-filled email in your own mail program, which you send yourself. Our server then receives no data.

If you write to us directly by email, we process your details in the same way to answer you. The legal basis is Art. 6 (1) (b) GDPR if your enquiry aims at a contract, otherwise Art. 6 (1) (f) GDPR. We delete the data once the enquiry is dealt with, unless statutory retention duties prevent this.

Our mailbox is operated by Google Ireland Limited, Gordon House, Barrow Street, Dublin 4, Ireland (Google Workspace). A data processing agreement is in place with Google. Processing in the USA is possible and relies on the EU-US Data Privacy Framework and the EU standard contractual clauses.

10. Shipment tracking

For shipment tracking you enter a reference or container number. It is transmitted to our server for the lookup and from there to the respective data provider. No personal details are needed for this.

11. Links to other websites

This website links to the websites of the other KOTA companies. Data is only transferred to the respective site once you click such a link. That site's own privacy policy applies there.

12. Your rights

Within the limits of the law you have the right at any time to

  • information about the data we hold on you (Art. 15 GDPR),
  • correction of inaccurate data (Art. 16 GDPR),
  • erasure (Art. 17 GDPR),
  • restriction of processing (Art. 18 GDPR),
  • data portability (Art. 20 GDPR),
  • object to processing based on Art. 6 (1) (f) GDPR on grounds relating to your particular situation (Art. 21 GDPR).

An informal message to office@kotaholding.de is enough.

You can also lodge a complaint with a data protection supervisory authority (Art. 77 GDPR), for example the authority at your place of residence.

13. Obligation to provide data, automated decisions

You are not obliged to give us personal data. Without your contact details, however, we cannot answer an enquiry. There is no automated decision-making, including profiling.

14. Changes

We adapt this privacy policy when the website or the legal situation changes. The version published here applies.
